The Clint Wilson State Farm Agency is seeking a highly organized, tech-savvy, positive Executive Administrative Assistant to help support the daily operations and continued growth of our agency.

This is not a typical assistant role. We are looking for someone who can anticipate needs, solve problems independently, manage moving pieces, and help create organization and efficiency so leadership can focus on serving customers, developing the team, and growing the business.

The ideal candidate is detail-oriented, optimistic, adaptable, and able to work with many different personalities while keeping operations moving smoothly behind the scenes.

This role includes a blend of executive support, operations coordination, recruiting assistance, reporting, social media coordination, and occasional personal assistant responsibilities.

Responsibilities:
  • Manage and organize the agent’s calendar and scheduling.
  • Help manage the agent’s email inbox and ensure tasks are delegated appropriately.
  • Prepare and distribute daily business reports.
  • Help monitor agency performance and keep leadership aware of daily results.
  • Run payroll and assist with administrative/accounting tasks.
  • Balance premium bank accounts and assist with financial organization.
  • Review resumes and assist with hiring coordination.
  • Help manage and coordinate agency social media accounts and content.
  • Order office supplies and maintain office organization.
  • Coordinate agency events, meetings, and projects.
  • Schedule vehicle maintenance and assist with errands as needed.
  • Add family and business events to calendars and help keep schedules organized.
  • Support the success and growth of the agency in whatever way is needed.

  • The agent’s inbox, calendar, and priorities remain organized and manageable.
  • Daily reports and operational tasks are handled accurately and on time.
  • Leadership stays informed on sales and retention performance.
  • Team members receive timely follow-up and accountability.
  • The office operates smoothly with minimal oversight.

Qualifications:
  • Strong computer and technology skills are REQUIRED.
  • Exceptional organizational skills and attention to detail.
  • Ability to work independently without constant supervision.
  • Positive, patient, and adaptable personality.
  • Strong communication and problem-solving skills.
  • Ability to multitask in a fast-paced environment.
  • Comfortable handling confidential information professionally.
  • Prior executive assistant, operations, administrative, or office management experience preferred.
  • Experience with Microsoft Office and Excel strongly preferred.
  • Social media familiarity is a plus.
